Access Rights

4PM enables 2 modes for access rights management:

  • simple access rights
  • advanced access rights (access groups, project roles, project groups)

How do I set access rights to 4PM user

Application administrator must enable 4PM access to each user, following these steps:

  1. enter person's details to 4PM: RESOURCES / PERSONNEL', follow the link USER RIGHTS or
  2. go to tab ACCESS / USERS > ACCESS INACTIVE to find a person.
  3. click the name of the person to open the form with users name, family name and password,
  4. select the access type:
    • NO ACCESS
    • NORMAL USER - to set up access rights use ACCESS GROUPS, PROJECT ROLES, and PROJECT GROUPS.
    • GUEST ACCESS - read only access to pre-set project documents and project comments
    • ADMINISTRATOR ACCESS - full access to application and all project dat
  5. access mode (if enabled in the licence):
    • check in AD: user name must match the name in the AD.
    • local: user name and password is required
  6. user name and password set up:
    • enter unique user name (default value is e.mail of the user)
    • password

  8. select one or more access groups
  9. if necessary add one or more "project groups rights". User can have different project groups rights for different project groups.

How can I block access to 4PM user?

  1. go to tab ACCESS / USERS > ALL to find a person.
  2. click the name of the person and open the form.
  3. unselect box at access
  4. unselect user groups
  5. save

It is also possible to "deactivate" user in tab RESOURCES / PERSONNEL / person.


Important to know

  • simple access rights include project access rights (project team member, project manager, all projects)
  • advanced access rights does not include project access rights. Project access rights are set according to project role.
